Administrative Assistant

About the SEEP Network 

SEEP is a collaborative learning network. We support strategies that create new and better opportunities for vulnerable populations, especially women, to participate in markets and improve their quality of life. For over 30 years, our members have served as a testing ground for innovative strategies that promote inclusion, develop resilient markets, and enhance the livelihood potential of the worlds' poor. SEEP members are active in 150 countries.

Position Purpose

The Administrative Assistant is responsible for providing general administrative and operational support to SEEP Programs.

Measures of Success

The Administrative Assistant will be successful if s/he:

  • Contributes to greater efficiency in internal administration
  • Ensures accuracy and timeliness in financial processes
  • Communicates effectively with SEEP staff and external parties

Position Responsibilities

  • Assist with travel, hotels, insurance (when necessary) and local transportation for staff, consultants, Board members and other SEEP partners
  • Process travel expense reports according to SEEP Travel Policy guidelines.
  • Process, update, and archive consultant and vendor contracts, and grant amendments 
  • Process consultant and vendor invoices and other financial transactions 
  • Communicate with vendors and consultants monthly (or in a frequency indicated in contracts) to request submission of invoices and trip reports 
  • Purchases office and kitchen supplies, organize catering for meetings 
  • Administrative support to SEEP Global Conferences including travel reimbursements, communication with vendors, processing of payments  
  • Handle miscellaneous tasks as assigned 

Qualifications

  • Associate degree in business administration or related field 
  • Minimum of three years general office experience  
  • Excellent organizational skills and attention to detail 
  • Strong interpersonal skills and ability to take initiative and work constructively and cooperatively in a small team environment 
  • Willingness and ability to quickly learn new skills and processes 
  • Ability to manage time well and complete tasks on deadline 
  • Experience in cross-cultural communication  
  • Proficiency in MS Office 
  • Experience with Salesforce CRM a plus 
  • U.S. Citizenship, lawful permanent residency, or otherwise authorized to work in the U.S.
